General Description:

Under the supervision of the Deputy Administrator for Housing Programs or his/her designee, the Office Service Clerk receives, sorts and distributes all incoming and outgoing postal & interoffice communications.  Maintains a central office supply stock room and coordinates copying services as required.

Duties & Responsibilities:

  • Responsible for the operation of all aspects of the BHA's Central Office Mail and Supply rooms.

  • Responsible for processing all incoming and outgoing mail and packages received.

  • Responsible for creating and maintaining an accurate log of all incoming and outgoing shipments.

  • Responsible for completing copy jobs/ copying services according to the instruction received from the requisitioner.

  • Responsible for insuring adequate funding on postal meters. Requisitions for additional funding to supervisor as needed.

  • Requisitions and delivers bulk mail and copier/ printer paper as needed.

  • Assists with various special projects when approved by supervisor.

  • Suggest ways to improve customer service and implements plans, as appropriate.

  • Maintains mail and stock rooms in a safe, clean and orderly fashion.

  • Maintains an inventory of supplies and parts needed for all mail room and copying equipment.

  • Provides supervisor and appropriate budget analyst with information on monthly postage charges.

  • Performs messenger services when required.

  • Performs other related duties as required.

Minimum Qualifications & Experience:

A high school diploma or GED is required.  A valid Massachusetts driver's license is necessary.  At least one (1) year experience in a demonstrated capacity performing office duties, with emphasis on mail room and office machine experience including copiers, telecopiers, etc.
